Should the agenda for the apartment building meeting be shared in advance?

The building manager said they would discuss the parking arrangements and shared expenses at next week’s apartment meeting, but didn’t think it was necessary to send the agenda in writing beforehand. A few neighbors argue that it makes for a more relaxed conversation that way. I’m worried we’ll be caught unprepared when the topics come up on the day of the meeting; is asking for an agenda too formal?

When the topic of parking came up, I could picture that meeting scene where everyone talks at once 😅

Especially if shared expenses are going to be discussed, it helps to know the topics in advance. People can come after checking the bills they have; otherwise, they’re expected to respond right away to a figure they’re hearing for the first time at the meeting. A long agenda isn’t necessary; writing a few items in the group may be enough.

Sharing an agenda is good, but not every topic needs to be a decision item. Sometimes the first step is to describe the problem; for example, rather than deciding who gets which parking spot, you can discuss what kinds of issues the current arrangement is causing. A short list in advance helps people prepare without bringing the meeting to a standstill.

The invoice example makes sense; I guess the point isn’t to bog the meeting down with rules, but to make sure everyone comes with the same information. I could ask the manager for a short list of topics.
